The Vlearned course scheduling feature allows for a flexible and convenient way to create courses, while ensuring that trainees have enough time to complete the necessary assignments and assessments. The system allows for One-off courses as well as A courses (Daily, Weekly, Monthly, Annually). A break-down of each is given below:

One-off Course

When creating a course in the LMS, the scheduler feature allows an administrator to set a one-off course with a specific Appointment date, Starting time, and Ending time. Here's how you do it:

  1. Select the scheduling feature and turn the “Recurring” toggle off.

  2. Set the Appointment date, Starting time, and Ending time for the course.

  3. Save the course and don’t forget to assign an instructor to it.

The instructor can only create one lesson for the course.

Assignments and assessments can be created as many as desired, as long as the creation date falls within 4 months of the lesson appointment date and time. Here's an example below:

Recurring Courses

Courses can be set to recur Daily, Every n days, Every n weeks, Every n months or Yearly. Each recurrence option enables you to select a Starting date for when your course will commence and an ending date criteria. It can either have No end date, End after a certain number of occurrences, or End by a specific date.

If the course is set to end after a certain Number of occurrences, the instructor can create lessons and assignments up to that number of occurrences.

If the course is set to End by a specific date, the instructor can create lessons and assignments up to that date.

For non-ending courses, the system will continue to generate new timeslots for the recurring lessons indefinitely.

Each recurrence option is explained in further detail with an example below:

Recurring Daily

The scheduler allows an administrator to set a daily recurring course with a specific Starting time, Ending time, Starting date, and Ending date. The steps are as follows:

  1. Select the scheduling feature and turn the “Recurring” toggle off.

  2. Set the appointment starting time and ending time for the course.

  3. Choose the recurrence pattern frequency as "Daily" with a frequency interval of 1 day (all the day checkboxes will be checked).

  4. Set the ending criteria.

  5. Save the course and don’t forget to assign an instructor to it.

The daily timeslot is chosen automatically and cannot be changed or altered by the instructor.

Assignments and assessments can be created as desired, as long as the creation date is within the course timeline selected i.e. The Starting date and time and Ending date Criteria inclusive of time. Here's an example:

Recurring Every n Days

The scheduler allows an administrator to set a recurring course that recurs on a specific day according to their desired interval; every n days, where n is any positive integer. The steps are as below:

  1. Choose the appointment Starting and Ending time.

  2. Select "Daily" as the recurrence pattern frequency with a frequency interval of n days (where n is not equal to 1).

  3. Select a Starting date and ending criteria.

  4. Save the course and don’t forget to assign an instructor to it.

The daily timeslot is chosen automatically based on the selected interval, Starting time and Ending time and cannot be changed or altered by the instructor.

Assignments and assessments can be created as desired, as long as the creation date is within the course timeline selected i.e. The Starting date, Time and Ending date Criteria inclusive of time. An example is given below:

Recurring Every n Weeks

When creating a course in the LMS, the administrator can choose to schedule the course to occur every n weeks on specific days of the week. Here are the steps:

  1. Choose the appointment Starting and Ending time.

  2. Choose the recurrence pattern frequency as "Weekly" and set the interval to n weeks.

  3. Choose the days of the week when the course will occur by ticking the relevant checkboxes.

  4. Choose the Starting date and ending criteria.

  5. Save the course and don’t forget to assign an instructor to it.

The instructor can create lessons every n weeks on the chosen days of the respective week and cannot be altered by the instructor.

Assignments and assessments can be created as desired, as long as the creation date is within the course timeline selected i.e. The Starting date, Time and Ending date Criteria inclusive of time. An example is given below:

Recurring Every n Months

When creating a recurring course with a monthly recurrence pattern, the administrator can select a frequency interval of n months under 2 options. The first option is to occur on a specific day of the month. The second option is to occur on a specific day of the week in the month. The steps are as follows:

  1. Choose the appointment Starting and Ending time.

  2. Choose the recurrence pattern frequency as "Monthly" and set the interval to n months.

  3. Choose one of two options for when the course should occur in the respective month: specific day of the month or specific day of the week in the month .

  4. Choose the Starting date and ending criteria.

  5. Save the course and don’t forget to assign an instructor to it.

The instructor can create lessons every n months on the chosen day of the respective month(or week of the month) and cannot be altered by the instructor.

Recurring Yearly

  2. Choose the recurrence pattern frequency as "Yearly".

  3. Choose one of two options for when the course should occur: specific day of the month or specific day of the week in the specified month.

  4. Choose the Starting date and ending criteria.

  5. Save the course and don’t forget to assign an instructor to it.

The instructor can create lessons every year on the chosen day of the respective month(or week of the month) and cannot be altered by the instructor.
